BT Cloud Voice for retail and hospitality

Shops, pubs, restaurants and hotels need a phone that staff can answer from the shop floor, the bar or the kitchen, and a number customers can always get through on. Here is how BT Cloud Voice fits.

In short: BT Cloud Voice for retail and hospitality gives shops, pubs, restaurants and hotels a hosted BT phone system with cordless DECT handsets for staff on the move, Basic licences for shared phones, call routing across several branches, on-hold messages about opening hours, and a route off analogue lines before the 2027 switch-off.

A phone system built for the shop floor

In a shop, bar or restaurant, the phone is rarely answered at a desk. Staff are serving customers, stocking shelves or working in the kitchen, and a missed call can be a missed booking or order. BT Cloud Voice is BT's hosted phone system: calls are handled in BT's network, and phones connect over your business internet connection, so you can put handsets where your people actually are.

The main building blocks for retail and hospitality are:

  • Cordless DECT phones for the shop floor, stockroom, bar, cellar or garden
  • Hunt groups, included as standard, so one number rings several phones until someone answers
  • An Auto Attendant to answer with opening hours and a short menu, such as bookings, orders or the manager
  • Time and holiday schedules, so calls are handled differently when you are closed
  • On-hold music and messaging, where BT offers copyright-free music updates and a script-writing and voice-over service, so callers hear about opening hours, offers or events while they wait

BT designs BT Cloud Voice for businesses with five or more users. A sole trader or a single small shop may be better served by BT Cloud Voice Express, which we cover further down.

Choosing licences for shared and personal phones

BT Cloud Voice is licensed per user, and the feature packs can be mixed. That matters in retail and hospitality, where many phones are shared rather than personal.

Who or whatSuggested packWhy
Shared shop-floor, bar or kitchen phoneBasicCovers call routing, forwarding, transfer including to mobiles, hunt groups and three-way calling, but no voicemail
Store, pub or restaurant managerConnectAdds voicemail with voicemail to email, Call Director, voice and video conferencing, plus the BT Cloud Voice app
Area or operations manager covering several sitesConnect or CollaborateWorks from the app on a mobile or laptop, and Collaborate adds scheduled meetings with call-in audio
Head office or central bookings teamConnect, with call queuesHandles calls for every branch with Call Centre ACD

Basic does not include voicemail, so plan where unanswered calls go: a manager's Connect mailbox is often the simplest choice. See BT Cloud Voice pricing for how packs, site features and devices add up.

Several branches, one system

Retailers and hospitality groups with several sites can run every branch on one BT Cloud Voice system. Each branch keeps its own local number, which can be ported from your current provider, and gets its own hunt group and opening-hours greeting. Common set-ups include:

  • Local numbers for each branch, with calls ringing the phones in that branch first
  • Overflow to a central team when a branch is busy or closed, using call queues where agents can be on different sites
  • A single national or non-geographic number that offers callers a choice of branch from an Auto Attendant menu
  • Transfers between branches, so staff can pass a caller to another branch that has the item in stock, and BT says calls between colleagues are free

Because BT Cloud Voice numbers are not tied to your local area, a new branch can have a local number for its town. If a branch moves premises, tell us before the move: BT needs the correct address for emergency calls. If you want to know how many calls go unanswered at busy times, Call Analytics, an optional extra on any pack, reports on calls made, attempted, received and missed at company, department, team or user level.

Card machines, alarms and other lines

Retail and hospitality premises often have more lines than phones. Older card terminals, intruder and fire alarms, lift lines, CCTV and door entry may all use an analogue line, and analogue lines are being withdrawn: Openreach says all traditional phone lines go digital on 31 January 2027, and lists payment terminals among the equipment to check.

  • Card terminals: a terminal that dials out over a phone line needs checking with your payment provider, who can tell you whether it can move to broadband, Wi-Fi or mobile data. See card machines and the PSTN switch-off.
  • Alarms, lifts and door entry: check each one with its supplier using our alarm and special lines checklist.
  • Fax: if you still receive faxed orders, BT Cloud Voice fax messaging (an optional extra for Connect and Collaborate users) sends them to email, and a BT Cloud Voice analogue telephone adapter can connect an existing fax machine.

Our PSTN switch-off 2027 guide explains the dates and what happens to lines that are not moved in time.

Connectivity, Wi-Fi and power

Every BT Cloud Voice call travels over your internet connection, so it needs enough bandwidth alongside card payments, guest Wi-Fi, music streaming and stock systems. Before you order, BT runs a network assessment test on your connection. Keep phones and payments separate from guest Wi-Fi where you can, and use a switch with QoS to give voice traffic priority (see LAN and firewall settings).

Wi-Fi desk phones are available, but BT recommends a good to excellent Wi-Fi signal where they sit. In a power cut or internet outage, hosted phones and the app may not be able to make 999 or 112 calls, so make sure staff have another way to reach the emergency services, such as a charged business mobile. Our internet connection requirements page covers broadband, leased lines and backup.

Frequently asked questions

Is BT Cloud Voice good for a small shop?

BT designs BT Cloud Voice for businesses with five or more users. A single small shop may suit BT Cloud Voice Express, which supports up to four numbers across up to four locations. Contact us and we will help you choose.

Can staff answer calls on the shop floor?

Yes. Cordless DECT phones from BT's Cloud Voice range work as BT Cloud Voice extensions, and a hunt group can ring several of them so whoever is free answers.

Can each branch keep its own phone number?

Yes. BT says existing numbers beginning 01 or 02 can be ported, and each branch can have its own routing and greeting on one shared system. We check other number types, such as 0800 or 03, case by case.

Will my card machine work after the PSTN switch-off?

Not if it still dials out over an analogue line. Openreach lists payment terminals among the equipment to check before 31 January 2027, so ask your payment provider whether yours can use broadband, Wi-Fi or mobile data instead.

Can callers hear our opening hours while they wait?

Yes. BT offers on-hold music and a script-writing and voice-over messaging service, and an Auto Attendant can play your opening hours and switch to a closed greeting outside trading hours.
