BT Cloud Voice for schools and academies

How schools, academies and multi-academy trusts use BT Cloud Voice to handle the morning absence calls, keep the office reachable and give site staff a phone that goes where they go.

Contact us

In short: BT Cloud Voice for schools is BT's hosted phone system set up around the school day: an Auto Attendant that sends parents to an absence line, hunt groups for the office, separate term-time, out-of-hours and holiday greetings, cordless DECT phones for site staff, and one system shared by every school in a multi-academy trust.

Why schools are moving to BT Cloud Voice

Many schools still run an ageing phone system on analogue or ISDN lines. Those lines are being withdrawn: Openreach says all traditional phone lines go digital on 31 January 2027, and services that run on ISDN have to move to an IP service by then (see our PSTN switch-off 2027 guide and ISDN replacement page). That makes now a sensible time to replace the phone system and the lines together.

BT Cloud Voice is BT's hosted phone system. The call handling runs in BT's network, so there is no phone system in the server cupboard to maintain, and the school office manages greetings, diverts and users from the online BT Cloud Voice Business Portal. Each member of staff who needs a phone has a per-user licence, and you choose the feature pack that fits each role. BT designs BT Cloud Voice for organisations with five or more users, which suits almost any school.

This page covers how BT Cloud Voice fits a school. For the general question of which phone system a school should choose, see the school phone systems guide on cloudphone.cloud.

Absence lines and the morning rush

The busiest few minutes of the school day are often the first, when parents are reporting absences. An Auto Attendant (a site feature) answers the main number and gives callers a short keypad menu, for example:

  1. Press 1 to report a pupil absence
  2. Press 2 for the school office
  3. Press 3 for the finance or admissions team
  4. Press 0 or stay on the line for reception

The absence option can transfer to an attendance line: a user on the Connect or Collaborate pack (voicemail is not included with Basic) whose calls are set to divert straight to voicemail, so parents leave a message instead of waiting. With voicemail to email, each message arrives in the attendance officer's inbox as an audio file, so absences can be worked through and logged. A BT Cloud Voice mailbox holds up to 120 messages, and saved messages are deleted automatically after 30 days, so emailing messages out and clearing the mailbox daily keeps the absence line from filling up. The office option can ring a hunt group, so whichever member of the office team is free picks up. Larger schools with steady call volumes can use call queues with Call Centre ACD, which hold callers with announcements rather than letting the line ring out.

Term time, out of hours and holidays

Schools keep unusual hours, and the phone system needs to follow them. BT Cloud Voice uses time schedules and holiday schedules, so the Auto Attendant can play a business-hours menu during the school day and a different greeting after hours, at weekends and during the holidays.

Greetings can be standard or recorded by the school and uploaded. Useful messages to plan include:

  • An after-hours greeting that still lets parents leave an absence message
  • A holiday greeting with the date the school reopens
  • An emergency closure message the office can switch on quickly, for example for snow days
  • A greeting that tells callers where to find urgent safeguarding contacts out of hours, in line with your own policy

The office can change diverts and schedules in the Business Portal, or we can make the changes for you. Our guide to diverting calls on BT Cloud Voice explains the options.

Phones for every role in school

Different staff need different devices and licences. BT Cloud Voice works only with IP phones from BT's Cloud Voice range, which BT configures before delivery:

RoleTypical deviceSuggested pack
Reception and school officeDesk phone with a headset, or the Receptionist console for a busy front deskConnect
Head teacher and senior leadersDesk phone plus the BT Cloud Voice app on a laptop or mobileConnect or Collaborate
Site manager, caretakers and premises staffCordless DECT phoneBasic or Connect
Classrooms and staff roomsBasic desk phone for internal calls and emergenciesBasic
Meeting roomsConference phoneBasic

Cordless coverage across a school site needs planning, because thick walls, sports halls and separate blocks shorten the range, so we plan where base stations go before ordering. BT also offers secure entry systems that link to BT Cloud Voice, so the office can see and speak to visitors and release the door from the phone system; check any existing door entry or gate system as part of your alarm and special lines review. Group paging, which makes an announcement out loud on every phone in a group at once, can also be set up where it helps.

Multi-academy trusts and several sites

BT Cloud Voice runs every site on one system, so a multi-academy trust can give each school its own main number, Auto Attendant and office hunt group while sharing a single Business Portal. BT says calls between colleagues are free, and call queue agents do not have to be on the same site, which helps a central finance, HR or admissions team handle calls for every school in the trust.

Administrator roles in the portal fit the structure: a group (site) administrator can manage one school's users and settings, while a service (company) administrator looks after the whole trust. See BT Cloud Voice login for how the roles work.

Safeguarding, recording and resilience

BT Cloud Voice call recording is an optional add-on for Connect and Collaborate users. A school might record calls to the office, for example to have an accurate record of a difficult conversation. Recording calls with parents and pupils is personal data processing under UK GDPR, so agree it with your data protection officer first, tell callers in your greeting, keep recordings only as long as you need them and limit who can listen. Recording is a supporting tool and does not replace your safeguarding procedures.

Emergency 999 and 112 calls on a hosted system depend on your power, network and internet connection, and calls over an app may not work in a power or network outage. Keep at least one way of making an emergency call that does not rely on the school network, and read our pages on internet connection requirements and call quality.

Frequently asked questions

Can BT Cloud Voice set up a school absence line?

Yes. An Auto Attendant answers your main number with a keypad option for absences, which transfers to a Connect or Collaborate user set to divert calls to voicemail. Voicemail to email then sends each message to the attendance team's inbox as an audio file.

Can we have different greetings in the school holidays?

Yes. BT Cloud Voice uses time schedules and holiday schedules, so you can play a term-time menu, an after-hours greeting and a holiday greeting, and change them in the Business Portal.

Does BT Cloud Voice work for a multi-academy trust?

Yes. All your schools can sit on one system with their own numbers and call routing, call queues whose agents work from different schools, and administrators for each school or for the whole trust.

Do we need to replace our school phone system before 2027?

If your phone system uses analogue or ISDN lines, you need a plan before they are withdrawn. Openreach says traditional phone lines go digital on 31 January 2027. Contact us and we will check which of your lines are affected.

Can site staff use cordless phones?

Yes. Cordless DECT phones from BT's Cloud Voice range work as extensions, and we plan where the base stations go so the handsets cover the buildings and grounds staff use.
