BT Cloud Voice login: using the Business Portal

The BT Cloud Voice Business Portal is where users manage their own settings and administrators run the whole phone system. Here is how signing in works, and what to do when it does not.

Contact us

In short: BT Cloud Voice login is through the BT Cloud Voice Business Portal, a website you sign in to with the username, domain and password provided when your service was set up. Users manage their own voicemail and diverts there; group and service administrators manage users, sites, numbers and call routing, and can reset passwords and unlock suspended accounts.

What the BT Cloud Voice Business Portal is

The BT Cloud Voice Business Portal is the web-based control panel for BT Cloud Voice. There is no software to install: you sign in from a browser on a computer, tablet or smartphone, wherever you have an internet connection.

What you see depends on who you are:

BT's help guide gives the current portal address, which at the time of writing is businessportal.business.bt.com. Bookmark the address from your welcome email rather than searching for it each time, so you always land on the real BT page.

Your username, domain and welcome email

When your BT Cloud Voice service is set up, you are given a username and password for the portal. Your welcome email contains your username and the domain that goes with it. Keep that email safe; BT's help says it is the first place to look if you have a problem with your username or domain.

A few things trip people up:

  • The portal login is not the app login. The BT Cloud Voice app has its own sign-in, set up by an administrator under Users, then Applications.
  • Type the username exactly, including the domain part, with no extra spaces.
  • Administrators may have separate accounts. BT's new user guide notes that when you create an administrator, only the portal access option needs ticking.

Roles: who can do what

RoleTypical personWhat they can do
Employee (user)Anyone with a BT Cloud Voice licenceManage their own voicemail, greetings, diverts and features
Group (site) administratorAn office manager for one site or groupManage users and settings for their groups, and reset passwords and unlock accounts for those users
Service (company) administratorThe person who owns the phone systemManage everything across the company, and reset passwords and unlock accounts for anyone, including group administrators

If you have a login problem, the person to ask follows the same ladder: employees ask their group administrator, group administrators ask their service administrator, and service administrators get help from BT (or from us, if you bought through Forever Communications Limited).

Most organisations should have at least two service administrators, so one person being on holiday never locks everyone out. Give group administrator access to site managers who need to change greetings or diverts locally, rather than sharing a company-wide login.

Forgotten passwords and locked accounts

If you cannot sign in:

  1. Check the username and domain against your welcome email, and check Caps Lock
  2. If you have forgotten your password, ask your administrator. They select you in the portal, open Profile and either choose Auto generate and email password or set a new password and tell you what it is
  3. If your account is suspended, an administrator can open your Profile and use the Unlock Account button at the bottom of the page, which only appears on suspended accounts. BT says to unlock the account before resetting the password, and that suspended accounts unlock automatically after four hours
  4. If you are the only administrator and you are locked out, contact us and we will help you regain access through BT

After a reset, sign in and change the password to one only you know. Never share administrator logins by email or chat, and remove portal access for leavers on their last day.

Finding your way around

Once you are in, the dashboard is the starting point. A few habits make the portal much easier:

  • Search before you change. If a number appears under the search for sites, admins and users, it belongs to a person. If it appears under call routing groups, it is a hunt group, an auto attendant or a call centre.
  • Use the 'Assist me' button for BT's help on the feature you are using, or open the Help centre (from the question mark on a computer, or the three-dot menu on a mobile) to search BT's help.
  • Write down the current settings before you change call routing, so you can put them back if needed.
  • Test after every change by calling the number from a mobile.

For a fuller walkthrough, BT's optional training includes site and user admin courses. See BT Cloud Voice help and support for training options.

Supported browsers and devices

BT's minimum specification says the portal can be used from Windows and Mac computers, tablets and smartphones. Use an up-to-date version of a mainstream browser such as Chrome, Edge, Firefox or Safari. Some add-ons, such as Call Analytics, list their own browser requirements, so if one screen will not load, try a different browser before raising a fault.

If the portal will not open or stays on a blank page, BT suggests clearing your browser's cache and cookies, trying another browser, or opening it in a private or incognito window. If your organisation filters web traffic, make sure the BT Cloud Voice destinations in BT's LAN and firewall guidance are allowed.

Frequently asked questions

Where do I log in to BT Cloud Voice?

You log in to the BT Cloud Voice Business Portal in a web browser, using the username and password you were given when the service was set up. BT's help guide currently gives the address as businessportal.business.bt.com.

I have forgotten my BT Cloud Voice password. What do I do?

Ask your administrator. A group administrator can reset passwords for users in their groups, and a service administrator can reset anyone's, including group administrators. If you are the only administrator, contact us and we will help.

How do I unlock a suspended BT Cloud Voice account?

An administrator opens the user's Profile in the Business Portal and selects Unlock Account at the bottom of the page. BT says suspended accounts also unlock automatically after four hours.

Is the BT Cloud Voice app login the same as the Business Portal login?

No. The BT Cloud Voice app has its own username and password, set up by an administrator in the Business Portal under Users, then Applications.

Which browsers work with the BT Cloud Voice Business Portal?

Current versions of mainstream browsers such as Chrome, Edge, Firefox and Safari, on a computer, tablet or smartphone. Some add-ons list their own browser requirements.
