In short: BT Cloud Voice for healthcare gives dental, veterinary, physiotherapy and private clinics a hosted BT phone system with call queues and comfort messages for the morning rush, a receptionist console, out-of-hours greetings, diverts to the on-call clinician and optional call recording. Recording health conversations needs careful UK GDPR handling.
The busy morning line
When the phones open, every caller wants the same thing: to get through. A traditional phone system either rings out or gives an engaged tone. BT Cloud Voice gives you better options:
- An Auto Attendant answers first with a greeting you record and upload, which can give urgent advice, then a short menu such as appointments, results or prescriptions, or the practice manager
- Call queues with Call Centre ACD hold callers in order with comfort messages instead of letting the line ring out, while reception staff log in and out of the queue as they start and finish their shifts
- Call Centre ACD plus, an add-on to Call Centre ACD, adds more call handling options for practices with heavier call volumes
- Hunt groups, included as standard, suit a smaller team where one number simply rings the reception phones
Because queue agents can be on different sites, a group with several practices can share the morning load, with staff at a quieter branch answering calls for a busy one.
Reception, clinicians and practice managers
Each person needs a licence on one of the feature packs, and packs can be mixed:
| Role | Useful features | Suggested pack |
|---|---|---|
| Reception team | Queues, Receptionist console or Receptionist small business (for up to 30 users), busy lamp field to see whether a colleague's line is free, engaged or ringing, headsets | Connect |
| Clinicians and surgery rooms | A desk phone for internal calls and transfers from reception | Basic or Connect |
| Practice manager | Voicemail to email, the BT Cloud Voice app, Call Analytics reporting | Connect or Collaborate |
| On-call vet or clinician | Call Director and diverts to a mobile, showing the practice number | Connect |
Receptionist console, Receptionist small business and busy lamp field are optional extras for Connect and Collaborate users only, so you add them just for the front desk. Headsets make a long morning on the phones much easier for reception staff, and cordless DECT phones suit nurses, kennel staff or anyone who moves between rooms.
Out of hours and on-call cover
Time and holiday schedules switch the Auto Attendant to an out-of-hours greeting automatically. What that greeting says is a clinical decision for your practice, for example where to go for urgent care or which number to dial for the on-call service.
Veterinary and private practices that provide their own on-call cover can divert calls to the clinician on duty. Call forwarding can send calls to a mobile, and Call Director lets the on-call person make calls from their mobile while showing the practice's BT business number, so clients do not see a personal number. Hunt Group plus, a site feature, adds extra forwarding options for your hunt groups that can be set from anywhere with an internet connection. Our guide to diverting calls on BT Cloud Voice has the steps.
Call recording and UK GDPR for health information
BT Cloud Voice call recording is an optional add-on for Connect and Collaborate users. Practices use it for training, checking what was agreed, and handling complaints. Healthcare recordings need extra care. The Information Commissioner's Office lists data concerning health as special category data under UK GDPR, so a patient's call about symptoms or treatment needs the higher level of protection. A veterinary call is about an animal rather than a person, but the recording still holds the owner's personal data, such as their name, address and payment details.
This is general guidance, not legal advice. Before you switch recording on, work through these points with your data protection lead:
- Your lawful basis for recording, and the condition for processing any special category data
- Whether a data protection impact assessment is needed
- Telling callers that calls may be recorded, and why, in your greeting and privacy notice
- Which calls to record: all calls, particular calls, or on demand
- How long recordings are kept, how they are archived, and who can listen to them
- How you will handle a request from a patient or client for a copy of their recording
Call Analytics, an optional extra, is useful alongside recording: it reports on calls received and missed and shows trends, so you can staff reception for when the calls actually come in. The Report Premier package adds live data on queues and agents, and contact-centre wallboards.
Alarms, telecare and other lines
Clinics often have lines that are not phones: intruder and fire alarms, lift emergency lines, door entry, fridge or equipment monitoring, and fax. Analogue lines are being withdrawn, and Openreach says all traditional phone lines go digital on 31 January 2027. Check each device with its supplier using our alarm and special lines checklist. If you still receive referrals by fax, BT Cloud Voice fax messaging, an optional extra for Connect and Collaborate users, sends faxes to email.
If any of your patients or clients rely on telecare or other health devices connected to a phone line at home, that is a matter for them, their phone provider and their telecare provider. Openreach advises anyone in that position to contact their provider as early as possible, and notes that providers can arrange battery back-up for people who need it.

Contact usFrequently asked questions
Can BT Cloud Voice queue calls for a dental or vet practice?
Yes. Call Centre ACD, a site feature, holds callers in a queue with comfort messages while reception staff log in and out, and agents can be at different sites. Call Centre ACD plus adds more call handling options for busier practices.
Can we record calls in a healthcare practice?
Yes, with the optional call recording add-on for Connect and Collaborate users. Health information is special category data under UK GDPR, so agree your lawful basis, tell callers and set retention before you start.
Can out-of-hours calls go to the on-call vet?
Yes. Time schedules switch to an out-of-hours greeting, calls can be forwarded to a mobile, and Call Director lets the on-call vet make calls showing the practice number.
Is BT Cloud Voice approved for NHS use?
We make no NHS framework or accreditation claims for this service. We supply BT Cloud Voice to private and independent practices; check any NHS contract requirements with your commissioner.
Can we see how many calls we miss in the morning?
Yes, with the optional Call Analytics add-on. It reports on calls made, attempted, received and missed and shows trends, so you can match reception staffing to when calls arrive.
